RACI Matrix Builder
Free RACI matrix builder — define project roles and responsibilities. Assign Responsible, Accountable, Consulted, and Informed. Export as CSV or PDF.
The RACI Matrix Builder is a free, browser-based tool that helps small business owners, project managers, and freelancers define and communicate roles and responsibilities for any project or process. RACI stands for Responsible, Accountable, Consulted, and Informed — a proven framework used by teams of all sizes to eliminate ambiguity about who does what on a project.
Start by adding your team roles across the top of the matrix — these can be job titles, names, departments, or any label that makes sense for your project. Then add your tasks or deliverables down the left column. For each cell at the intersection of a task and a role, assign one of four designations: R for Responsible (the person who does the work), A for Accountable (the person who owns the outcome and approves the work), C for Consulted (people whose input is needed), and I for Informed (people who need to know the outcome but are not directly involved).
The tool validates your matrix as you build it, warning you if any task has no Responsible party assigned — a common mistake that leads to things falling through the cracks. Best practice is to have exactly one Accountable person per task and at least one Responsible person. Having too many people in the R or A role on a single task often signals unclear ownership.
Once your matrix is complete, export it as a CSV for sharing in Google Sheets or Excel, or print it as a PDF to include in project documentation, kickoff presentations, or stakeholder briefings. The matrix is pre-populated with a sample project so you can see how a completed RACI looks before building your own.
This tool is particularly useful for onboarding new team members, setting expectations with clients, scoping freelance engagements, and running workshops where role clarity is a common pain point.
Frequently Asked Questions
- What does RACI stand for?
RACI stands for Responsible, Accountable, Consulted, and Informed. Responsible is the person who does the actual work. Accountable is the single person who owns the outcome and has final decision-making authority. Consulted are subject matter experts whose input is needed before decisions are made. Informed are stakeholders who need to be kept up to date on progress and decisions but do not directly participate.
- Can a task have more than one Responsible person?
Yes — multiple people can share Responsible on a task, especially for collaborative deliverables. However, there should only ever be one Accountable person per task. Having multiple Accountable designations defeats the purpose of the RACI model, as it creates shared accountability which in practice means unclear accountability.
- How do I export the RACI matrix?
Use the Export CSV button to download a spreadsheet-compatible file you can open in Google Sheets, Excel, or any CSV viewer. Use the Print / Export PDF button to open the browser print dialog — choose
- Is this RACI tool free?
Yes. Add your tasks and stakeholders, assign Responsible, Accountable, Consulted, or Informed to each cell, and export the finished matrix without a watermark or a locked \
- What is the difference between Consulted and Informed?
Consulted (C) means two-way communication — you actively seek input from this person before decisions are finalized. Informed (I) means one-way communication — you update this person on decisions and outcomes after the fact. Consulting too many people slows projects down; informing too few people creates surprises. Getting this distinction right is the most common source of RACI improvement.
